The Alec Webster Oates Scout Fund

Application Form Notes and Grant Criteria

1. The fund was established to “ provide financial assistance for camping to scouts in poor circumstances in Sheffield. “ It is now considered that camping includes all forms of overnight activities and that “scouts” includes all invested members of the Scout movement. Further clarification follows below.  Please ensure that the activity and the recipient meet these criteria.

· All applicants must be invested members of the Scout Movement and actively connected with a Sheffield Group or District. Applications may be considered for non-members in exceptional cases where the presence of that person is critical to the success of the activity.

· Applications must be for a Scouting activity involving a minimum of 1 night’s accommodation away from home.  Applications may be considered in exceptional circumstances for a one day activity or for an activity where the circumstance of the applicant only allows one day participation.

· Grants will not be considered for activities where no Scouting activity is included.

· All application must be personal. Consideration will not be given to block application ( such as for a District Jamboree Contingent ) or to general applications for support for an activity ( such as a District Camp ).

· Except in exceptional circumstances only one grant per person will be made in any one year.

2. Please complete all sections of the form as fully as possible. The form will not be considered without the District recommendation section having been completed.

3. Applications for grants are considered by The Alec Oates Fund Sub Committee and recommendations by them are submitted to the Executive Committee of Sheffield Scout Resources Charity for approval. The Committee meets five  times per year in January, March, May, July and October. Emergency applications may be considered in special circumstances.

4. Grants are only made in support of activity fees. No grants are made for equipment /clothing or for Scout Leader training purposes or other training courses.

5. Grants are paid to the Group organising the activity and the grant is not transferable to any other person taking part in the activity.

6. If the activity is cancelled for any reason the grant is repayable in full except where non-refundable deposits have been incurred.

7. Retrospective applications will not be considered.

8. The completed application form should be submitted to The Alex Oates Fund, Scout Headquarters, 60-68 Trippet Lane, Sheffield S1 4EL. Pdf submissions by e-mail will be accepted and these should be sent to sheff.scouts@btconnect.com  .

9. The fund will make grants of 50 % of the cost of the activity up to a maximum grant of £ 75.
